1. Scope and who we are

This Privacy Policy describes the practices of Iman Cleaning Service LLC (“Iman Cleaning,” “we,” “us,” or “our”) when you use imancleaningservice.com, request a quote, book or receive a service, create an account, communicate with us, use our website assistant or live chat, call or text us, or submit an employment or cleaner application.

This policy does not control the independent privacy practices of websites or services that we do not own. Links to social media, payment pages, and other third-party sites are governed by those parties’ own policies.

2. Information we collect

Contact, identity, and account information

  • Name, email address, telephone number, service address, apartment or unit, city, state, and ZIP code.
  • Account information such as your email, password, full name, phone number, authentication records, and account-session identifiers. Passwords are processed by our authentication provider and are not visible to us in plain text.
  • Information you provide about another person, such as an authorized contact, reference, or emergency contact. Please provide another person’s information only if you have permission to do so.

Quote, property, and service information

  • Service type, property category and type, property size and layout, bedrooms, bathrooms, rooms, units, selected extras, cleaning priorities, window types and quantities, and requested labor time.
  • Information about property condition, clutter or buildup, pets, utilities, access, parking, hazards, recent construction or water damage, cleaning history, preferred dates and times, and other notes you submit.
  • Photos and files you choose to upload. These may reveal the interior, condition, location, or contents of a home or business. Please remove sensitive documents, faces, financial information, medication labels, security codes, and unrelated personal items from view before uploading.

Booking, agreement, and payment information

  • Appointment details, quote and booking status, service agreement acceptances, confirmations, cancellations, rescheduling requests, and communications about your service.
  • Estimated and final prices, deposits, balances, taxes, invoices, receipts, transaction status, and payment identifiers. Stripe processes your full card or digital-wallet details. We may receive limited payment information such as card brand, last four digits, Stripe customer or payment-method identifiers, and payment status, but we do not receive or store your full card number.
  • Information used to document a booking or agreement, which may include date, time, and internet protocol (“IP”) address.

Communications and customer support

  • Emails, text messages, live-chat and website-assistant messages, contact-form submissions, feedback, and other communications with us.
  • If our automated phone receptionist is enabled, call details may include caller and recipient numbers, recordings, transcripts, summaries, scheduling details, and other information discussed during the call. See AI, chat, and phone calls below.

Device, website, and analytics information

  • IP address, browser and device type, operating system, pages viewed, links or buttons used, approximate location derived from an IP address, referring page, timestamps, and diagnostic or security information.
  • Cookies, local storage, session storage, and similar identifiers used for account sessions, saved form progress, ZIP-code eligibility, preferences, security, analytics, and site performance.

Applicant and cleaner information

If you apply for employment or to provide cleaning services, we may collect your contact information, address and service area, résumé, languages, work authorization response, availability, experience and job history, transportation and driver-license availability, insurance status, skills, physical-capability responses, references, emergency contacts, certifications, and narrative answers. Please obtain permission before providing a reference’s or emergency contact’s information.

Sources of information

We collect information directly from you; automatically from your browser or device; from payment, communications, analytics, authentication, and scheduling providers; and from a person acting for you or submitting information about you.

3. How we use information

We may use personal information to:

  • check service-area eligibility and prepare, deliver, save, or revise quotes;
  • schedule, confirm, provide, reschedule, cancel, and support cleaning services;
  • process deposits and balances, issue receipts and invoices, prevent duplicate transactions, and maintain payment and accounting records;
  • send service-related emails and texts, payment links, appointment updates, reminders, confirmations, and customer-support responses;
  • send promotional email subject to applicable law and your right to unsubscribe, and send promotional text messages only when you made the applicable affirmative SMS choice;
  • create and manage customer accounts and display associated bookings and invoices;
  • operate website chat, automated assistance, optional photo-based estimation, and phone support;
  • understand website use, measure performance, troubleshoot errors, improve services, and develop new features;
  • protect customers, workers, our business, and our systems; detect fraud, abuse, and security incidents; enforce agreements; and resolve disputes;
  • comply with legal, tax, accounting, insurance, licensing, and regulatory obligations; and
  • evaluate employment and cleaner applications and communicate with applicants.

4. Cookies, browser storage, and analytics

Our website uses cookies and similar technologies for functions such as secure account sessions, saved quote or booking progress, preferences, security, and analytics.

  • Account cookies. Secure, HTTP-only cookies help keep signed-in customers authenticated. A refresh cookie may remain for up to 30 days unless it expires or is cleared earlier.
  • Saved form progress. Booking answers may be saved in your browser’s local storage so you can continue later. This information generally remains on that device until the booking is completed or canceled, the site clears it, you clear browser data, or the browser removes it.
  • Session storage. We may temporarily store ZIP-code eligibility, qualification, and notice information for the current browser session.
  • Google Analytics. Google Analytics helps us understand how visitors use the website and may collect device, interaction, referrer, IP-derived approximate location, and similar usage information.

You can block or delete cookies and local storage through your browser settings, but some account, saved-progress, and booking features may not work correctly. You may also use the Google Analytics Opt-out Browser Add-on. Our website does not currently respond differently to browser “Do Not Track” signals.

5. AI tools, website chat, photos, and phone calls

We may use automated tools to help answer questions, summarize information, route requests, support scheduling, and assist with estimates. Depending on the feature and its configuration:

  • website-assistant messages may be sent to OpenAI to generate a response;
  • property details and selected photos may be sent to OpenAI or Google’s Vertex AI/Gemini services to assist with a cleaning estimate;
  • live-chat messages and contact information may be stored through Supabase and may be forwarded to our business by Twilio; and
  • calls handled by an ElevenLabs automated receptionist may be recorded, transcribed, summarized, and stored through our business systems.

AI-generated responses and estimates can be incomplete or inaccurate and may be reviewed or adjusted based on the information you provide, property conditions, and our service terms. Do not submit sensitive or unrelated information to an AI or chat feature.

Call notice: A call with our automated receptionist may be recorded and transcribed for customer service, scheduling, quality, security, and dispute-resolution purposes. We will provide any additional notice or obtain consent when required by applicable law. If you do not want a call recorded or transcribed, do not continue the call; contact us by email or through a non-call website form instead.

6. Email, SMS, and service communications

We may email or text you about a quote, appointment, service update, payment link, confirmation, receipt, account, support request, or other transaction you initiated. We may also call you about your request or service. Message frequency varies, and message and data rates may apply.

Promotional SMS is optional and requires a separate affirmative choice that is not required to request a quote or purchase a cleaning service. When you make an SMS choice, we record information such as the date and time, the form and disclosure version, your selection, and limited technical evidence used to document the request.

Promotional SMS may include cleaning offers, seasonal promotions, and rebooking reminders and is limited to the frequency stated when you enroll. Promotional messages may be sent using automated technology. We do not interpret an unchecked SMS-marketing box as consent, and opening a previously saved quote does not automatically select it.

When you provide an email address in connection with a quote or service, we may send occasional promotional email as permitted by applicable law. Each marketing email will clearly identify Iman Cleaning Service LLC and its promotional nature, include our valid postal address, and provide a clear way to unsubscribe. We do not describe this as affirmative email consent unless you separately provided such consent.

You can opt out of SMS messages by replying STOP. For help, reply HELP or contact us at Info@imancleaningservice.com or 929-232-1930. Opting out of texts does not stop non-SMS communications or messages already in transit, and we may still contact you where legally permitted about an active transaction or safety issue. You can unsubscribe from promotional email through the unsubscribe link in a marketing email or by contacting us. We process valid opt-out requests as soon as practicable and within the period required by applicable law.

We do not share mobile opt-in information, phone numbers, or SMS consent with third parties or affiliates for their own marketing or promotional purposes. Communications providers may process this information solely to deliver and support our messages.

7. How we disclose information

We disclose personal information as reasonably necessary for the purposes described in this policy. Recipients may include:

  • Vercel for website hosting, serverless functions, logs, and delivery;
  • Supabase for authentication, databases, customer accounts, booking records, chat, applications, and related storage;
  • Stripe for payment processing, customer and payment-method records, receipts, invoices, refunds, and fraud prevention;
  • Google services, including Google Analytics, Drive, Gmail, Calendar, and, when enabled, Cloud or Vertex AI/Gemini, for analytics, files and photos, email, scheduling, and AI-assisted estimates;
  • Twilio for text messaging and related communications;
  • OpenAI for website-assistant responses and, when enabled, AI-assisted photo estimates;
  • ElevenLabs, when enabled, for an automated phone receptionist and call processing;
  • FormSubmit for certain employment-application forms;
  • cleaning professionals, contractors, and personnel who need information to quote, schedule, perform, or support a requested service;
  • accountants, insurers, attorneys, professional advisers, and authorities when reasonably necessary for business, legal, safety, fraud-prevention, or compliance purposes; and
  • a successor or involved party in a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or similar business transaction, subject to applicable law.

No sale or targeted advertising

We do not sell or rent personal information, and we do not use personal information for cross-context behavioral advertising. Service providers may process information for us under their own contracts and privacy terms. If our practices materially change, we will update this policy and provide choices required by applicable law.

8. Your privacy choices and requests

You may ask us to access, correct, or delete personal information associated with you, or to close an account. You may also ask questions about how we use or disclose your information. We will review and respond to requests as required by applicable law and, where practicable, as a courtesy.

Submit a request by emailing Info@imancleaningservice.com with the subject line Privacy Request, or call 929-232-1930. Describe your request and provide the email address or telephone number you used with us. We may need to verify your identity or authority before acting. An authorized agent may submit a request where applicable law permits, but we may require proof of authority and identity.

We may deny or limit a request when permitted by law—for example, when we need information to complete a service, protect security, prevent fraud, keep legally required transaction or tax records, establish or defend legal claims, or protect another person’s rights. We will not unlawfully discriminate against you for making a privacy request.

9. Retention

We do not use one fixed retention period for every category of information. Retention depends on the type of record and why it is needed. We may retain information for as long as reasonably necessary to provide and document services; maintain accounts; process payments; send requested communications; administer applications; meet tax, accounting, insurance, legal, and contractual obligations; protect security; prevent fraud; resolve disputes; and enforce agreements. We may delete or de-identify information when it is no longer reasonably needed.

A saved-quote link may expire after 90 days, but expiration of a link does not necessarily delete the underlying quote, email, photo, or business record. Records may also remain for a limited period in backups or in systems operated by our service providers, subject to their practices and our legal obligations.

10. Data security

We use administrative, technical, and physical safeguards designed to protect personal information in light of the nature of the information and our operations. These may include restricted access, secure authentication cookies, encrypted connections in transit where supported, provider access controls, monitoring, and business procedures.

No website, email, text message, cloud system, or internet transmission can be guaranteed completely secure. Please use a unique password, protect your devices and account credentials, and avoid sending unnecessary sensitive information. If you believe your information or account may have been compromised, contact us promptly.

11. Children’s privacy

Our website and services are intended for adults and are not directed to children under 18. We do not knowingly collect personal information directly from children. If you believe a child submitted personal information to us, contact us so we can review and, where appropriate, delete it.

12. Changes to this policy

We may update this Privacy Policy as our services, providers, or legal obligations change. We will post the revised policy on this page and change the “Last updated and effective” date. If a change materially affects how we use information already collected, we will provide any additional notice or choice required by applicable law.
